We are responsible for the processing of personal data via meetcupboo.com and our online shop. For any privacy enquiries or requests, you can contact us by email or post. ## 2. What data do we receive? When you make an enquiry, we receive the name you have provided, your email address, any telephone number, your area of interest, your role, your preferred method of contact and your message. When you place an order, we process the necessary billing and delivery details, the items ordered, the amounts, the order reference and the payment status. Technical enquiries submitted via our website contain details such as your IP address and browser information. Please do not provide any medical details or information about residents or patients that is not necessary for your enquiry. ## 3. Why, and on what grounds? We use your data to answer enquiries, prepare or fulfil a contract, process payments and deliveries, and handle returns or warranty claims. Legal obligations form the basis for, amongst other things, our record-keeping. Security, combating misuse and the necessary follow-up of complaints are based on our legitimate interest, whilst taking your rights into account. We ask for your consent for optional analytical cookies. You must provide the data required for payment and delivery in order for us to process an order. ## 4. Payments, contact details and service providers Payments are processed via [Mollie](https://www.mollie.com/legal/privacy). The online shop receives the payment reference and status. Full card details are entered within the payment environment and are not stored by our online shop. Contact messages are delivered by email via our own website API. We share necessary data with service providers for hosting, email, payment and delivery, and with administrative service providers or authorised authorities where necessary or required by law. We do not sell your personal data. ## 5. Direct shipping from China To facilitate the direct dispatch of your order, we pass on the necessary name, delivery address and telephone number to Cupboo in China and the relevant carriers. They use this information to prepare and deliver the parcel. This constitutes a transfer of personal data outside the European Economic Area. Contractual arrangements have been made with Cupboo regarding this data transfer. Retention periods We retain enquiries for as long as is necessary to respond to them and to deal with any follow-up matters. We retain order, invoice and payment details for as long as is necessary for the purposes of the contract, returns, warranty, applicable tax or accounting retention obligations, and any disputes. We then delete or anonymise data that is no longer required. The retention period therefore depends on the purpose, the statutory retention obligation and any ongoing claims. You can ask us what retention period applies to your data. ## 7. Shopping basket and cookie preferences The shopping basket stores selected items locally in your browser. This functional storage is necessary to provide the shopping basket feature you have requested. You can clear the contents via the shopping basket or your browser settings. Your cookie preferences are stored in your browser for up to 180 days. If you clear or block your browser storage, we will ask you to select your preference again. ## 8. Google Analytics following consent We will only load Google Analytics to understand how our website is used if you accept analytical cookies. In doing so, Google may process data relating to the pages you visit, your browser and device, technical connection data and your interactions. We do not use this consent for ad personalisation and have disabled Google Signals. Google may set analytical cookies, including \_ga and \_ga\_ followed by an identification code. The standard lifespan of these cookies is a maximum of two years and may be renewed upon each visit. Our own consent expires after 180 days; after that, we will only resume tracking once new consent has been given. You can refuse without losing access to the online shop. You can adjust or withdraw your choice via **the Cookie settings** at the bottom of each page. Upon withdrawal, tracking will cease and we will delete the Analytics cookies to which we have access. Withdrawal does not render previous processing based on consent unlawful.
